Position Title: Assistant Office Manager

Position Purpose and Objectives: To assist the Office Manager in daily tasks and assignments. Answer phones and enter data efficiently. Delivering high quality customer service at all times.

Department: Admin/Office

Department Supervisor: Vice President

Direct Supervisor: LC Office Manager

Employment Status: ☐ Exempt (salaried) or ☒ Nonexempt (hourly)

Specific Duties, Functions, and Responsibilities:

• Customer Service at all times

• Answer phones, podium, google requests, etc…

• Create contacts and jobs in JobNimbus/Acumatica

• Set estimator appointments

• Issue Dispatch Authorization Forms

• Create Work Orders when needed

• Order Materials when needed

• Assist with scheduling with Superintendent

• Assist with scheduling with Clients

• Assist with Coordinate with Suppliers

• Generate Labor Agreements when needed

• Help with in-person applications

• Take payments

• Maintain a clean and welcoming branch environment

• Ensure your role within the Pfeifer experience

• Manage jobs from Appt Set to “in Progress” when needed

Required Knowledge, Skills, and Abilities:

• Fast learner

• Clear and effective communication; verbal, nonverbal, written, and auditory

• Technologically sound using a computer, tablet, phone, and all company platforms

• Strong Organizational Skills and ability to multi-task

• Manager role experience

• Willingness to learn and become a professional in the realm of roofing and estimating

• Ability to work both independently and as a team

• Gets it, wants it, and has capacity to do it

Education and Experience:

Essential

• Previous assistant experience

• Customer service experience

• Fluent in all English communication skills; verbal and visual

• Knows the construction basics

• Ability to use/learn Pfeifer business technologies

Preferred

• Bilingual English/Spanish
